What the library holds
Company experience records the projects your firm delivered: title, client, sectors, countries, contract value, dates, your role, outcomes and keywords.
Personnel holds expert profiles: expertise, languages, education and a history of project assignments. Experts can be linked to the projects they worked on, and attachments are served through secure, time-limited links. For how evaluators score those CVs, read our guide to key expert CVs.
Import what you already have
Two routes, and either way you review and edit every record before it is saved:
- Upload a CSV. Download the template, fill it in or map your spreadsheet onto it, and drop it in. The file is validated on the spot, with any skipped rows explained. This route needs no AI provider. If your data is messy, copy the ready-made formatting prompt into any AI assistant to reshape it first.
- Extract with AI. Upload or paste a PDF, Word or text document and let your configured model pull out company references or expert profiles, including each person’s assignment history. Likely duplicates are flagged, and the extraction runs in the background so you can keep working.
Capability Match on every tender
On any open opportunity, Capability Match ranks your references and experts by how well they fit: overlap on sector and country, with keywords from the opportunity title breaking ties. Each match shows a relevance score and why it surfaced.
Your configured model then judges the overall fit as strong, partial or weak, names concrete strengths and gaps, and recommends which experts and references to feature. If nothing in your library overlaps the tender, it says so without calling the model, which is useful input for your go/no-go decision.
From match to annex
The recommended experts and references come pre-selected, and you can adjust the choice. One click generates an editable Word annex with a Project References section and a Key Personnel section, including each expert’s summary, key facts and assignment history. You can also export selected references as a spreadsheet or map them into your own Word, Excel or PDF template.
Frequently asked questions
Do we need an AI provider to build the library?
No. The CSV import works without any AI provider. AI extraction from documents and the fit judgment in Capability Match use the model your organization configures.
Which file formats can we import?
CSV files matching the template, or, with AI extraction, PDF, Word and plain-text documents such as reference lists, project sheets and CVs.
Can we produce references in a client’s required format?
Yes. Export selected references as a spreadsheet, or map them into your own Word, Excel or PDF template with AI assistance to fit the fields.
Who can see our CVs and references?
Only members of your organization. Isolation is enforced at the database level, and JV partners invited to a bid do not see your experience library.
